Welcome to JustRegisterIt. JustRegisterIt is the Data Controller responsible for your personal data. This Privacy Policy explains how we collect, use, process, and protect your personal data when you use our administrative facilitation service to streamline the business registration process with the Registrar General's Department (RGD) of the Republic of Ghana.

JustRegisterIt complies with the requirements of the Data Protection Commission of Ghana. We handle all submitted data and uploaded documents in compliance with the Data Protection Act 2012 (Act 843).

1. Information We Collect

To provide our facilitation services, we collect specific personal and corporate data, which falls into the following categories:

  • Business & Registration Data: We collect details required for RGD filing, including your Business Name, Address, Stated Capital, and Director/Shareholder details.
  • Biometric & Identity Data: You must provide clear, valid, and unexpired Ghana Card uploads alongside authorized digital signatures. By uploading your Ghana Card and providing digital signatures, you expressly consent to the processing of such data for registration purposes.
  • Draft Data: Our systems automatically save your progress as a data payload so you can complete your application across multiple sessions without losing data.
  • Payment Data: Transaction details are collected when fees are paid in full in Ghana Cedis (GHS) via our authorized payment gateway, Paystack.

2. Legal Basis for Processing

We process your personal data on the following legal bases:

  • Contractual Necessity: To fulfill our obligation to facilitate your business registration.
  • Legal Obligation: To comply with Anti-Money Laundering and Counter-Terrorist Financing laws of Ghana.
  • Legitimate Interest: To prevent fraud, maintain platform security, and improve our services.

3. How We Use Your Data

We strictly use your information to facilitate your business registration. Your data is used to:

  • Perform RGD name availability checks and submit official filings.
  • Conduct internal Know Your Customer (KYC) checks to prevent financial crimes and corporate fraud.
  • Contact you regarding application status, required corrections, or document clarity issues.

4. Data Retention and Document Handling

We adhere to strict data minimization principles regarding sensitive identity documents. We collect and process only the minimum amount of personal data necessary to fulfill the purposes described in this Policy.

  • Temporary Staging: We store your Ghana Card images and sensitive personal data only for the duration necessary to complete the registration process.
  • Post-Filing Deletion: Once the RGD has finalized your registration and your business certificate is issued, your biometric uploads (Ghana Card images and digital signatures) are permanently purged from our secure internal storage systems.
  • Draft Purging: Incomplete drafts that are abandoned or where the user fails to respond to requests for additional information within thirty (30) calendar days may be securely and permanently deleted from our systems.
  • Statutory Retention: Where required by law, certain transactional or audit records may be retained for a longer statutory period.

5. Data Security

Protecting your identity is our top priority. All personal data is encrypted in transit and at rest using industry-standard security protocols. Access to the database and administrative dashboards is strictly restricted to authorized JustRegisterIt engineering and filing staff.

6. Third-Party Disclosures & International Data Transfers

We do not sell, rent, or trade your personal data. Data is only shared with official government bodies (such as the RGD) as required to legally complete your business registration. We also securely transmit limited payment-related data to our payment processor (Paystack) solely for the purpose of processing your Service Fee and Statutory Government Fees.

International Data Transfers: Where personal data is processed outside the Republic of Ghana (for example, through cloud hosting or payment processors), we ensure that appropriate safeguards are in place in accordance with Act 843.

7. Cookies and Tracking

We use essential cookies to maintain session authentication and platform functionality. We do not use advertising trackers.

8. Anti-Money Laundering (AML) Reporting

Under the Anti-Money Laundering and Counter-Terrorist Financing laws of Ghana, we are legally obligated to report any suspected fraudulent activity, "fronting," or attempts to provide false identity information to the relevant authorities.

9. Your Data Protection Rights

Requests to exercise your data protection rights may be submitted via the contact details provided below. Under the Data Protection Act 2012 (Act 843), you have the right to:

  • Request access to the personal data we hold about you.
  • Request correction of inaccurate or incomplete registration data before it is submitted to the RGD.
  • Request the deletion of your account and draft data (provided no official RGD filing has commenced).
  • Object to certain processing activities.
  • Withdraw consent at any time, subject to legal or contractual obligations that may require continued processing.
  • Lodge a complaint with the Data Protection Commission of Ghana if you believe your data protection rights have been violated.

10. Changes to this Policy

We may update this Privacy Policy to reflect changes in our engineering workflows or legal obligations. Updated versions will be posted on our website with a revised "Last Updated" date.
